Overview

You'll learn how to update sender names for your existing email accounts and download CSV files formatted for popular cold email platforms like Instantly, Smartlead, Reply.io, etc. This allows you to manage your email identities and seamlessly import your Inframail accounts into your sending platform of choice.

Prerequisites

  • An active Inframail subscription

  • At least one email account already created in Inframail

  • Logged-in access to your Inframail dashboard

Compatibility

This feature is available on all Inframail subscription plans. CSV exports are compatible with Instantly, ReachInbox, Smartlead, SalesHandy, Reply.io, Woodpecker.io, and plusvibe.co.

Before you begin

Important limitations:

  • Sender names must contain at least two words (e.g., "John Smith" not just "John")

  • Once an email account is created, you cannot change the email ID or domain—only the sender name and password can be modified

  • If you need to change an email address, you must delete the account and create a new one

Change sender names for existing email accounts

  1. Navigate to the Update page by clicking the pencil icon in the left sidebar

  2. Click on the Update/Delete Inboxes tab

  3. If you have multiple hosts, select the correct host from the dropdown menu at the top

  4. Locate the email account you want to update in the list

  5. Click into the Sender Name field (you'll see a placeholder like "Joe Smith")

  6. Clear the current name and type your new sender name

    • Make sure to enter at least two words separated by spaces

    • Examples of valid names: "John Smith", "Jane Marie Doe", "Robert T. Brown III"

    • Examples of invalid names: "John", "Smith" (single words won't work)

  7. The field will validate in real-time—if you see a red error message saying "Sender name must consist of at least two words", add another word to your name

  8. Repeat steps 5-7 for any other email accounts you want to update

  9. Click the Save button at the bottom of the page

You'll see a green success message at the top of the page confirming each email was updated successfully (e.g., "[email protected] updated successfully").

Download CSV files for your sending platform

After creating or updating email accounts, you can download CSV files formatted specifically for your cold email platform.

  1. After saving your sender name changes, the system may automatically open the CSV generation dialog

  2. In the Generating CSV files dialog, you'll see cards for all supported platforms:

    • Instantly

    • ReachInbox

    • Smartlead

    • SalesHandy

    • Reply.io

    • Woodpecker.io

    • plusvibe.co

  3. If you want to see all available platforms, check the Show All checkbox

  4. Click on the card for your preferred platform

  5. The CSV file will automatically download to your computer with a filename like instantly-bulk-import.csv or smartlead-bulk-import.csv

The CSV file contains all the connection details your sending platform needs, including SMTP settings, sender names, passwords, and email addresses. You can import this file directly into your platform without manual configuration.

Verify your changes

To confirm your sender names were updated correctly:

  1. Check for the green success toast notification at the top of the screen

  2. Review the sender name displayed in each email row—it should show your updated name

  3. Open the downloaded CSV file (using a spreadsheet app like Excel or Google Sheets) and verify the sender names appear correctly in the appropriate column

You entered a single-word name (e.g., "John" or "Smith")

Add at least one more word to your sender name. Use a full name like "John Smith" or "Jane Doe"

Cannot edit the Email ID or Domain fields

These fields are locked after an email account is created

This is by design to prevent accidental changes. If you need a different email address, delete the account and create a new one

CSV file didn't download

Browser blocked the download or you didn't click on a platform card

Check your browser's download settings and pop-up blocker. Try clicking the platform card again. Look in your Downloads folder for files named like [platform]-bulk-import.csv

Message: "Select a host to list the emails on that host"

You have multiple hosts and haven't selected one yet

Use the dropdown menu at the top of the page to select the host containing the emails you want to update

Sender name in CSV doesn't match what I set

You may have downloaded the CSV before saving your changes

Make sure to click Save first, then download the CSV file again

Limitations

  • Sender name format: Must be at least two words separated by spaces. Single-word names will be rejected

  • Email account immutability: Email ID and domain cannot be changed once an account is created. Only sender name and password can be updated

  • Maximum inboxes per domain: You can have a maximum of 10 email accounts per domain

  • Host selection: If you have multiple hosts, you must select the correct host to see and edit those emails

  • CSV re-download: CSV files are not stored permanently in the dashboard. If you need to download the file again later, contact Inframail support

What's next

After updating your sender names and downloading your CSV file:

  • Import the CSV file into your cold email platform (Instantly, Smartlead, etc.)

  • Set up email warmup for your new accounts if you haven't already

  • Configure forwarders and redirects on the Update page if you need to route replies to specific inboxes

  • Test sending a few emails to verify your sender name displays correctly in recipients' inboxes

Note that some email providers (like Gmail and Outlook) may not display your sender name immediately. They typically show the email address until they determine the sender is trustworthy, which usually happens after a proper warmup period and a few successful emails.
